Which processes can be automated

Almost every workflow that is repeated according to fixed rules is a candidate for automation. Typical examples from our work:

• Quotes, orders and invoices: take data from an enquiry into a quote, turn it into an invoice and send it as an e-invoice.
• Data sync between systems: keep shop, inventory, CRM and accounting in sync instead of maintaining data twice.
• Email and notification workflows: confirmations, reminders and status updates sent automatically at the right time.
• Online booking and calendars: bookings land directly in the calendar, including reminders for customers.
• Reports: key figures compiled automatically every day or week instead of filling spreadsheets by hand.
• Documents and forms: generate PDFs, read form data and file it in a structured way.

AI automation: where artificial intelligence helps

Classic automation follows fixed rules. AI models can additionally automate tasks where text needs to be understood or written: AI chatbots that answer frequent questions around the clock, email classification with suggested replies, and summarising and extracting relevant information from long documents.

We use AI responsibly: we check which data may be processed, use European providers where necessary and add human approval when decisions have consequences.

How we work

1. Process analysis: together we look at which tasks cost a lot of time and how they work today.
2. Prioritisation: we estimate effort and time saved and start with the workflow that pays off fastest.
3. Implementation: usually with Python, the existing APIs of your software and, if needed, a small web interface.
4. Test in daily use: the automation first runs in parallel until everything works reliably.
5. Operation and maintenance: we monitor the workflows, adapt them to changed interfaces and extend them step by step.

Technology and experience

We develop with Python and Django – including our own business software JDS Management, which manages bookings, customers, orders and invoices and is connected to other systems via APIs. Stable interfaces, logging, error notifications and data security are part of every automation project.
